Wholesale Food Order Form
A wholesale food order form is a trade document with a temperature requirement. Account, PO number, case quantities, and a delivery window someone will actually be there to receive.
For caterers, food trucks, bakeries and private chefs.
Nobody signs for chilled stock at 4pm
Wholesale food fails on the receiving end. A chilled delivery to a restaurant between lunch and dinner service arrives at a locked door, and then it's a write-off rather than a re-delivery.
So this template asks for the delivery window and who will be there to sign, alongside case quantities and whether the order includes chilled or frozen lines. Those are the questions that determine whether an order is deliverable, not just whether it's in stock.
Orders you don't have to decode
Orders taken by phone, text and social message all arrive in different shapes, and the missing detail is always the one you need to start. Then you're calling back, and they're not answering.
One form means every order arrives complete, in the same shape, with a written record of exactly what was asked for.
Allergies are not an optional field
Headcount, date and venue set the quote; allergies and dietary requirements decide whether the day goes well or badly. Both belong on the same form, asked before you cost the job, not confirmed by text the night before.
Written answers matter here more than most trades: when someone tells you in writing what they can't eat, there is a record of exactly what you were told.
A link you can put anywhere
Website, bio, QR code on the counter, reply to a message. Same form, same list, whichever way the order arrives.

Questions
Can I show trade prices?
Put them in the option labels or link a price list from the introduction. The form's link can also be shared only with approved accounts, since it isn't in your sitemap unless you put it there.
How do I handle minimum order values?
State it plainly and ask for an acknowledgement. For wholesale, also ask whether they'd accept a part-delivery - it saves a phone call when one line is out of stock.
Can I take payment on the form?
Not yet. Most people use this to capture the order and then invoice or take payment on collection - which also means you can confirm availability before charging anyone.
Can I limit what people can order?
Yes. Options are lists you control, so only what you actually sell appears - and you can close the form when you're at capacity.
Will I be told about new orders straight away?
Yes, if you turn on live notifications: each order is emailed to you as it arrives. Otherwise they collect in your dashboard.
Can I take deposits through the form?
Not yet - payments aren't built in. Most caterers use the form to capture and confirm the brief, then invoice for the deposit, which also means you check the date is free before taking money.
