Catering Order Form
A catering order form is for the office lunch and the family gathering: platters and quantities from a fixed list, with a delivery slot the kitchen can actually hit.
For caterers, food trucks, bakeries and private chefs.
Delivery slot, not delivery time
A kitchen doing lunch service cannot promise 12:00. It can promise between 11:30 and 12:15, which is honest and almost always fine - but only if you asked for a slot rather than letting someone type "12 o'clock sharp".
The other thing this template fixes is the notice period. State the minimum on the form and ask for a date, and you stop fielding calls at 10am asking for forty sandwiches at noon.
Orders you don't have to decode
Orders taken by phone, text and social message all arrive in different shapes, and the missing detail is always the one you need to start. Then you're calling back, and they're not answering.
One form means every order arrives complete, in the same shape, with a written record of exactly what was asked for.
Allergies are not an optional field
Headcount, date and venue set the quote; allergies and dietary requirements decide whether the day goes well or badly. Both belong on the same form, asked before you cost the job, not confirmed by text the night before.
Written answers matter here more than most trades: when someone tells you in writing what they can't eat, there is a record of exactly what you were told.
A link you can put anywhere
Website, bio, QR code on the counter, reply to a message. Same form, same list, whichever way the order arrives.

Questions
How do I enforce a minimum order?
State it in the introduction and ask for an acknowledgement. Most people respect a clearly stated minimum; almost nobody reads it in a footer.
Can I take payment or a PO number?
Ask for a PO number, as this template does - corporate customers can't pay without one. Payment itself happens on your invoice.
Can I take payment on the form?
Not yet. Most people use this to capture the order and then invoice or take payment on collection - which also means you can confirm availability before charging anyone.
Can I limit what people can order?
Yes. Options are lists you control, so only what you actually sell appears - and you can close the form when you're at capacity.
Will I be told about new orders straight away?
Yes, if you turn on live notifications: each order is emailed to you as it arrives. Otherwise they collect in your dashboard.
Can I take deposits through the form?
Not yet - payments aren't built in. Most caterers use the form to capture and confirm the brief, then invoice for the deposit, which also means you check the date is free before taking money.
