Meal Prep Order Form

A meal prep order form is a recurring order, so it has to capture preferences properly once. Meals per week, portion size, what they won't eat, and which day it arrives.

For caterers, food trucks, bakeries and private chefs.

Dislikes matter more than preferences

In meal prep, the thing that causes a cancellation isn't a missing favourite - it's the ingredient someone genuinely won't eat turning up three weeks running. Mushrooms, coriander, olives, anything spicy.

So this template asks for dislikes as a required field, separately from allergies. It's the single question that most improves retention on a subscription, and it takes the customer ten seconds.

Orders you don't have to decode

Orders taken by phone, text and social message all arrive in different shapes, and the missing detail is always the one you need to start. Then you're calling back, and they're not answering.

One form means every order arrives complete, in the same shape, with a written record of exactly what was asked for.

Allergies are not an optional field

Headcount, date and venue set the quote; allergies and dietary requirements decide whether the day goes well or badly. Both belong on the same form, asked before you cost the job, not confirmed by text the night before.

Written answers matter here more than most trades: when someone tells you in writing what they can't eat, there is a record of exactly what you were told.

A link you can put anywhere

Website, bio, QR code on the counter, reply to a message. Same form, same list, whichever way the order arrives.

Questions

Can I take a recurring payment?

Not through the form - collect the order and set up billing separately. Most meal prep businesses invoice weekly or take payment by standing order.

Should I ask about macros or calories?

Ask about the goal rather than the numbers - fat loss, muscle gain, maintenance. Customers who know their macros will tell you in the notes; the rest would abandon a form that asked.

Can I take payment on the form?

Not yet. Most people use this to capture the order and then invoice or take payment on collection - which also means you can confirm availability before charging anyone.

Can I limit what people can order?

Yes. Options are lists you control, so only what you actually sell appears - and you can close the form when you're at capacity.

Will I be told about new orders straight away?

Yes, if you turn on live notifications: each order is emailed to you as it arrives. Otherwise they collect in your dashboard.

Can I take deposits through the form?

Not yet - payments aren't built in. Most caterers use the form to capture and confirm the brief, then invoice for the deposit, which also means you check the date is free before taking money.
