Restaurant Supplier Order Form

A restaurant supplier order form is written for a head chef at 11pm. Fast to fill in, specific about substitutions, and clear about which delivery day the order is actually for.

Decide the substitution rule once

Every kitchen order hits an out-of-stock line, and the phone call that follows always arrives during service. The answer is almost always the same for a given kitchen - substitute like for like, or leave it out - so ask once, on the form.

This template also asks which delivery day the order is for, because a chef ordering on Sunday night may mean Tuesday. Getting that wrong means a delivery landing the day after it was needed.

Take orders while you're working

You can't answer the phone with your hands full, and the person calling won't wait. A form takes the order at 11pm on a Sunday and has it waiting when you open.

Allergies are not an optional field

Headcount, date and venue set the quote; allergies and dietary requirements decide whether the day goes well or badly. Both belong on the same form, asked before you cost the job, not confirmed by text the night before.

Written answers matter here more than most trades: when someone tells you in writing what they can't eat, there is a record of exactly what you were told.

Can chefs save a standing order?

Not within the form, but most kitchens keep their standard order in a note and paste it in - which takes seconds and is why the order lines are one text box rather than forty fields.

How do I handle price changes on market items?

Add a line asking whether they want to be told before delivery if a market price has moved. It prevents the invoice dispute that otherwise follows.

Can I take payment on the form?

Not yet. Most people use this to capture the order and then invoice or take payment on collection - which also means you can confirm availability before charging anyone.

Can I limit what people can order?

Yes. Options are lists you control, so only what you actually sell appears - and you can close the form when you're at capacity.

Will I be told about new orders straight away?

Yes, if you turn on live notifications: each order is emailed to you as it arrives. Otherwise they collect in your dashboard.

Can I take deposits through the form?

Not yet - payments aren't built in. Most caterers use the form to capture and confirm the brief, then invoice for the deposit, which also means you check the date is free before taking money.
