A vendor booth application form is a logistics document. Frontage, power, water, vehicle access and whether they're selling food - the answers that decide where a stall can physically go.

Power and frontage decide the site plan
You cannot build a site plan from a list of names. What you need is metres of frontage, whether they need power and how much, whether they arrive in a van that has to stay, and whether they need water - because those four constraints determine who can go where.
Asking them on the application means the plan is drawable the day applications close. Ask them later and you'll be re-drawing it in a field at 6am, moving a generator.
The same questions, in the same order, every time
Applications that arrive as emails and attachments are impossible to compare - one has the dates, another has the budget, none of them have both. You end up rebuilding each one by hand before you can make a decision.
A single form fixes that at the source: every application has the same fields, so reviewing is reading a table rather than reconstructing one.

Every event enquiry needs the same four facts - date, numbers, venue, budget - and almost none arrive with them. Asking on a form means your first reply can be availability and a price rather than a questionnaire.

Questions
What insurance should I ask about?
Public liability as a minimum, with the cover level and expiry date - and food hygiene rating for anyone selling food. Both are dates you'll want in a spreadsheet before the event.
Can I take the pitch fee here?
Not on the form. Most organisers accept the application, confirm a pitch, then invoice - which avoids refunding stalls you couldn't fit.
Can applicants attach a CV or document?
Not yet - file uploads are on the roadmap. Most people ask for a link (to a portfolio, a CV in cloud storage, or a profile) which works today and keeps the form fast.
Can I close applications on a deadline?
Yes. Close the form and anyone with the link sees a short closed page instead of the questions, so nobody fills in an application that can't be considered.
Can more than one person review them?
Yes - invite your team into the same account and they'll see the same responses. You can also export to a spreadsheet and score them wherever you like.
Can I use one form for several events?
Ask which event in a dropdown and filter the responses by it, or duplicate the form for each one so each has its own link and its own list. Duplicating takes a click.
