Subcontractor Application Form

A subcontractor application form is a compliance check as much as a hiring one: trades and capacity, but also insurance, accreditations, and whether the paperwork will survive an audit.

Insurance and accreditation, before the day rate

The reason a subcontractor can't start on Monday is almost never their skill - it's an expired public liability certificate or a missing card. Both are known facts that could have been captured weeks earlier.

So this template asks for cover levels and expiry dates up front, with the accreditations relevant to the trade. Because responses export as a spreadsheet, you get a register showing whose insurance lapses next month - which is exactly what a principal contractor gets asked for.

Fair, because it's identical for everyone

When applicants are asked different things, you're comparing presentation as much as substance - and the confident writers win. One form, one set of questions, and the answers line up next to each other.

It's also a record you can point at later: what was asked, what was answered, when it was submitted.

Site access, scope and dates decide the price

Two identical-sounding jobs price differently because of parking, access, floor level and whether anyone lives there during the work. Those are the questions that stop a quote becoming an argument.

Asking on a form also gives you a written scope. When the job changes - and it will - you have what was originally described, dated, in the customer's own words.

Questions

Can subcontractors upload certificates?

Not yet - ask for the insurer, the cover level and the expiry date, and request certificates by email for the ones you take on. The dates are what you need for the register.

Can I use this as an approved-supplier list?

That's the common use. Export the responses, filter by trade and coverage, and you have a list with dates - far better than a folder of emailed PDFs.

Can applicants attach a CV or document?

Not yet - file uploads are on the roadmap. Most people ask for a link (to a portfolio, a CV in cloud storage, or a profile) which works today and keeps the form fast.

Can I close applications on a deadline?

Yes. Close the form and anyone with the link sees a short closed page instead of the questions, so nobody fills in an application that can't be considered.

Can more than one person review them?

Yes - invite your team into the same account and they'll see the same responses. You can also export to a spreadsheet and score them wherever you like.

Can customers send photos of the job?

Not as uploads yet, but asking for a link to photos works today and most people already have them on a phone. The rest of the detail that drives your price is captured here.
