Small Group Signup Form

A small group signup form solves a matching problem: which night someone is free, how far they'll travel, what kind of group they're after, and whether childcare is the thing stopping them.

For churches, parishes and religious communities.

Childcare is the reason people don't join

Ask why someone isn't in a small group and the answer is usually a Tuesday bedtime. It rarely comes up, because nobody wants to be the person asking for special arrangements.

Putting it on the form as an ordinary question changes that completely - and once you can see how many people said yes to it, arranging something becomes an obvious decision rather than a favour. The same is true of transport and of asking for a group that isn't all one age.

One list, always current

Sign-ups scattered across replies, messages and a clipboard become a list nobody trusts. One form is one list, in order, exportable, with the same details for everyone.

Volunteers, prayer requests and pastoral care

Most of what a church collects is sensitive in a way ordinary business forms aren't: a prayer request, a pastoral concern, a safeguarding detail. The form has to be easy for a 76-year-old on a phone and private enough to be trusted.

These pages carry no trackers and no cookie banner, so nothing is watching a person who came to ask for help. Responses go to whoever you nominate and nowhere else.

Know immediately

Get an email the moment someone signs up, so you can reply while they're still keen - the single biggest thing that turns a sign-up into a person who shows up.

Edit it like a document, publish like a link

Add questions, remove questions, change the order and the wording, set your accent colour. When you save, the form is live at its own address - share it by link, QR code or a button on your site, and read the answers in your dashboard.

Questions

How do we handle groups that are already full?

Remove them from the list, or close the form and reopen it when a group has space. The live form updates the moment you save.

Can we ask for a preferred group leader?

Yes - add a dropdown of names with "no preference" first. It's useful information, though most churches match on night and location before personality.

Can I close sign-ups when I have enough?

Yes - close the form and the link shows a short closed page instead of the questions. Reopen it whenever you like.

Can I email everyone who signed up?

Export the responses as a spreadsheet and use whatever you already send email with. ava42 collects the list; it isn't a mailing tool.

Do people need an account?

No. Only you have an account. Anyone with the link can fill the form in, with no sign-up and no app.

Can we route sensitive requests to one person only?

Yes. Notification recipients are a list you choose, so a pastoral form can reach one named person rather than a general office inbox.
