Videography Booking Form

A videography booking form for events is about the running order. When things happen decides how many hours you need and whether one camera is enough.

For photographers, videographers and studios.

Audio is the thing that ruins event video

Nobody complains about the picture. They complain that they can't hear the speeches, the vows, or the best man - because the only microphone was on a camera at the back of a room with a hard floor.

So this template asks specifically which spoken moments must be captured, and whether there's a PA system to plug into. That one question determines whether you bring lapel mics and a recorder, and it's the difference between a video someone watches twice and one they watch once.

Stop booking by phone tag

Half your clients would rather book at 10pm than call at 10am, and the ones who do call reach a voicemail while you're working. Every missed call is a booking that went somewhere open.

A request form takes bookings while you're busy, asleep or driving - with the details you need written down rather than remembered.

Date, location, deliverables - the three that set the price

Every shoot enquiry needs the date, where it is, and what they actually need at the end. Without those you can't say whether you're free, let alone what it costs.

Asking on a form also surfaces the things that quietly double a job: travel, a second shooter, usage rights, a same-week turnaround.

It's a request, not a calendar takeover

You stay in control: requests arrive, you confirm the ones that work. No syncing, no double-booking, nothing to install - just the details you need in the order you need them.

Make it yours in a minute

Change the wording, drop the questions you don't need, add the ones you do, put your own colour on it. Saving publishes it, and you get a link to paste into your website, your email signature or a message. Responses land in your dashboard and download as a spreadsheet whenever you want them.

Questions

How do I price coverage hours?

Ask for the first and last moment they need covered, not a number of hours. Clients underestimate hours and can describe moments accurately.

Should I ask about a second shooter?

Ask about the moments instead - simultaneous events, a large venue, guests arriving while something else happens. Then you can recommend it with a reason.

Does this book the slot automatically?

No - it collects a request, and you confirm it. That's deliberate: real diaries have exceptions, and a form that promises a slot you can't honour costs more than one that asks.

Can I limit the options people can pick?

Yes. The service and time-of-day lists are yours to edit, so people can only choose from what you actually offer. You can also close the form when you're full.

Will I know straight away?

Yes, if you want to be. Turn on live notifications and every request is emailed to you the moment it arrives; otherwise collect them and read them in your dashboard.

Can clients see my work from the form?

The page is yours to write, so link to your portfolio in the introduction or in a question. Many photographers put the form behind an "Enquire" button so the gallery does the selling first.
