Photo Print Order Form

A photo print order form has to identify exactly which images, at which sizes, in which finish. Every ambiguity becomes a reprint at your expense.

Image references, not descriptions

"The one of us by the tree" is not an order. When a gallery has four hundred frames, a verbal description sends a lab the wrong file, and the customer finds out when a 20-inch print arrives.

So this template asks for file numbers or gallery references, one per line, with size and finish against each. It also asks about cropping - the other thing that ruins a print, because an image shot at 3:2 cannot become a square without something leaving the frame.

Take orders while you're working

You can't answer the phone with your hands full, and the person calling won't wait. A form takes the order at 11pm on a Sunday and has it waiting when you open.

Date, location, deliverables - the three that set the price

Every shoot enquiry needs the date, where it is, and what they actually need at the end. Without those you can't say whether you're free, let alone what it costs.

Asking on a form also surfaces the things that quietly double a job: travel, a second shooter, usage rights, a same-week turnaround.

Questions

How should customers reference images?

Give them the file numbers in your gallery and ask for those. Most gallery platforms show a filename or an image number; asking for it is far more reliable than a description.

Should I ask about cropping?

Always. A print size with a different aspect ratio to the original has to lose something, and the customer should choose what rather than the lab.

Can I take payment on the form?

Not yet. Most people use this to capture the order and then invoice or take payment on collection - which also means you can confirm availability before charging anyone.

Can I limit what people can order?

Yes. Options are lists you control, so only what you actually sell appears - and you can close the form when you're at capacity.

Will I be told about new orders straight away?

Yes, if you turn on live notifications: each order is emailed to you as it arrives. Otherwise they collect in your dashboard.

Can clients see my work from the form?

The page is yours to write, so link to your portfolio in the introduction or in a question. Many photographers put the form behind an "Enquire" button so the gallery does the selling first.
