Summer Camp Registration Form
A summer camp registration form has to do in one pass what a term of school admin does over weeks: which weeks, which group, what the child can and can't do, who collects them, and what to do if something happens.
For nurseries, after-school clubs, holiday camps and childminders.
Which weeks, and how many places are left
Summer camp capacity is per week, and parents book in February for August. The form has to capture exactly which weeks a child is coming, because that single answer drives staffing ratios, food orders and whether you can accept the next family.
When a week fills, close the form - everyone with the link sees that immediately rather than registering for a place that doesn't exist. It's a one-click change, and it prevents the worst conversation in the seasonal-camp business.
Registration that closes itself
The worst version of this is taking registrations you can't honour. Close the form when you're full and everyone with the link sees that immediately, instead of signing up and finding out later.
Emergency contacts and permissions, not a paper pile
Allergies, medication, who may collect a child, photo permissions - these are the details you must be able to find in seconds, and a folder of paper forms is the worst possible place to keep them.
One form gives you the same information for every child, searchable, exportable to the register you actually use on the day, and dated so you know when a parent last confirmed it.
Works from a phone, in a queue
Half of these get filled in on a phone while someone is standing in front of you. One small page, no app, no login - it opens and it submits, even on a bad signal.
One minute to make it your own

Questions
Can I show which weeks are full?
Edit the week list to remove the ones that have sold out - the live form updates the moment you save. Parents then can't pick a full week at all.
Can siblings be registered together?
Register each child separately so each has their own medical details and swimming ability. It's one extra minute per child and it's the safer record.
Can I stop registrations when we're full?
Yes. Close the form and the link shows a short closed page, so nobody registers for a place that doesn't exist. Reopen it in one click if space frees up.
Can I collect one registration per person or per group?
Either. Many people ask for the group size and the names in one text box; others publish the link and ask everyone to fill it in individually.
Can I get the list as a spreadsheet?
Yes - one click exports every response as CSV, which opens in Excel, Numbers or Google Sheets.
Is it appropriate for children's information?
Responses are stored in your account and are never shared or used for advertising. Keep it to what you need for care and safety, tell parents what you hold and how long you keep it, and check your local rules on children's data before you publish.
