Homeowners Associations

HOA Contact Form

An HOA contact form serves residents, prospective buyers and contractors, all asking different things. One routing question at the top and a unit number make the difference between an inbox and a process.

For HOAs, residents' associations and community boards.

A dated trail protects the board as much as the resident

Board members are volunteers who change every year or two. Anything that lives only in one person's inbox is lost when they step down - and "I told the board months ago" is unanswerable when there's no record.

A form gives every enquiry the same fields, a timestamp and a home that isn't a personal email account. When a resident says they raised something in March, you can look. That is worth more to an HOA than any other feature on this page.

Route it once, correctly

Asking what the message is about is the difference between an inbox and a queue. One dropdown means the right person can pick it up without three forwards.

A paper trail the board can actually point to

Architectural requests, complaints and maintenance issues arrive by email, at meetings and in person - and then nobody can find what was approved, when, or by whom. That's how disputes start.

One form per process gives the board a dated list with identical fields, which is both faster to run and much easier to defend when a decision is challenged.

Answers in one place

Every message lands in the same list, timestamped and searchable, and can be emailed to you as it arrives. Nothing lost in a shared inbox.

Yours to change, immediately

Nothing here is fixed. Rewrite a question, reorder them by dragging, add your brand colour, delete half of it. Save and the live form updates - there's no separate publish step and no deploy to wait for.

Questions

Can several board members see the messages?

Yes - invite them into the same account. Because members change often, you can remove access the day someone steps down without losing the history.

Should we accept anonymous complaints?

Ask for the unit but consider making the name optional for complaints about neighbours. You'll hear about problems you'd otherwise never learn of - though anonymous reports are harder to act on, and the form should say so.

Will I get spam?

Far less than a published email address. Every form carries a hidden trap field that automated submitters fill in and humans never see, and those submissions are silently discarded.

Can I send messages to a shared inbox?

Yes. Notifications go to a list of addresses you choose, so a team alias works as well as one person.

Can I add this to my website?

Link to it from anywhere - a button, a nav item, a footer. It's a normal page with its own URL, so no embedding or code is required.

Can several board members see the submissions?

Yes - invite them into the same account and everyone sees the same list. Members change often, so you can remove someone's access the day they step down.
