Service Quote Form

A service quote form works for anything sold by scope and frequency. What they need, how much of it, how often, and where - the four answers that turn an enquiry into a price.

For consultancies, advisers and professional firms.

One-off or ongoing changes the whole quote

The same service priced as a one-off and as a twelve-month retainer are different numbers for good reasons: set-up cost is amortised, and a committed client is worth a lower rate. Yet most quote forms don't ask.

So this template asks about frequency early and offers "not sure" honestly. It also asks what they're doing at the moment, because a client switching from another provider needs a different pitch from one buying the service for the first time.

A quote request that actually contains the job

"How much do you charge?" is unanswerable, and answering it with a range makes you look expensive to some and cheap to others. The fix isn't a longer reply - it's a better question.

Scope, timing, location and budget are on this form because those four answers turn a vague enquiry into something you can price with confidence, usually without a call.

A first impression that reads as organised

In professional services the enquiry process *is* a sample of your work. A form that asks precise questions and loads instantly says something that a generic "contact us" box cannot.

It also protects your time: the questions that qualify a piece of work - scope, timing, who decides - are far easier to ask in writing than in a first call.

Let them show you, not describe it

A sentence about the problem is a guess; a photo is a fact. This template asks for the details in the client's own words *and* keeps the questions short enough that they answer all of them.

Make it yours in a minute

Change the wording, drop the questions you don't need, add the ones you do, put your own colour on it. Saving publishes it, and you get a link to paste into your website, your email signature or a message. Responses land in your dashboard and download as a spreadsheet whenever you want them.

Questions

Should I quote one-off and ongoing prices?

Yes, when both apply - it's the easiest legitimate upsell there is, and it lets the client choose rather than negotiate.

How do I handle enquiries outside my area?

Ask for a postcode and state your coverage on the form. It saves the enquirer's time as much as yours.

Can I ask for photos or files?

Not yet - uploads are on the roadmap. In the meantime, most people ask for a link to photos, or reply to the response with an email asking for them. Everything else about the job is captured here.

Can I see where each quote request came from?

Yes. Add a hidden tracking parameter to the link (for example one link on your site and another on your Google profile) and it's stored with the response.

How fast can I put this live?

About a minute. Pick the template, change the wording, press save - saving is publishing - and you get a link to share.

Can I route enquiries to the right team?

Ask what the enquiry is about in a dropdown and notify a shared inbox; the answer is in the email, so whoever triages can forward it once, correctly.
