Insurance Agent Contact Form

An insurance agent contact form has to separate a new enquiry from a claim from a mid-term change, because those three go to different people and have very different clocks.

A claim in a general inbox is a regulatory problem

Claims have timescales, sometimes statutory ones, and an agent's inbox is not a claims queue. A message that says "my car's been hit" sitting unread for four days is a complaint waiting to be made.

So the first question here routes it, and the form says plainly what to do if a claim is urgent - call, don't wait. Everything else benefits from a written record with the policy number attached, which is what turns a two-email exchange into one.

Should claims be reported through a contact form?

Only as a notification, with a phone number for anything urgent. Say on the form what the claims line is, and don't let a form be the only route.

Do we need to ask for the policy number?

For anything about an existing policy, yes - make it conditional on the enquiry type so new customers aren't asked for one they don't have.

Will I get spam?

Far less than a published email address. Every form carries a hidden trap field that automated submitters fill in and humans never see, and those submissions are silently discarded.

Can I send messages to a shared inbox?

Yes. Notifications go to a list of addresses you choose, so a team alias works as well as one person.

Can I add this to my website?

Link to it from anywhere - a button, a nav item, a footer. It's a normal page with its own URL, so no embedding or code is required.

Is it suitable for claims information?

For dates, descriptions and contact details, yes, and the timestamped record is useful. Don't collect full bank details or identity documents through a web form; ask for those through a channel designed for it.
