Renewals are the one moment you can update a tenancy record. Over twelve months a partner moves in, a housemate leaves, a baby arrives, a dog appears - and none of it reaches the agreement unless someone asks.
So this template asks about occupancy changes directly, alongside the term wanted. It also asks about outstanding maintenance, because a tenant who has been waiting four months for a repair is a tenant who negotiates hard on rent - and it's cheaper to fix the tap.

Questions
Should we ask about rent expectations?
Ask whether they're expecting a change and let them say what they'd accept. It's often lower than you feared, and it starts the negotiation with information rather than a letter.
Can this handle a tenant who wants to leave?
Add "I don't wish to renew" as an option, as this template does. You want that answer early, and a form is an easier place to say it than a phone call.
Can applicants attach a CV or document?
Not yet - file uploads are on the roadmap. Most people ask for a link (to a portfolio, a CV in cloud storage, or a profile) which works today and keeps the form fast.
Can I close applications on a deadline?
Yes. Close the form and anyone with the link sees a short closed page instead of the questions, so nobody fills in an application that can't be considered.
Can more than one person review them?
Yes - invite your team into the same account and they'll see the same responses. You can also export to a spreadsheet and score them wherever you like.
Can I use one form across several properties?
Yes - ask which property in a dropdown, then filter or export by it. Larger portfolios often duplicate the form per building so each has its own link.
